Maintenance managers must always be up-to-date regarding the work that their teams have to perform.

The Work Management module of the Valuekeep Mobile App allows you to see all work items pending, in progress or done, costs, response times and service levels of work orders or work centers for which the user is responsible.

From the dashboard you can:

  1. View the list of all existing work items;
  2. Assign the work orders to technicians;
  3. View the list of all issues, events and work orders for which you are responsible;
  4. View a chart of the state of work, costs, response time and service level.

How to access the list of all work items?

The Work Management module considers that the maintenance manager’s work consists on:

  • All work orders for which the authenticated user is responsible or associated with work centers for which the authenticated user is responsible.
  • All events from preventive maintenance for which the authenticated user is responsible or associated with work centers for which the authenticated user is responsible that have not generated a Work Order yet.
  • All failures associated with assets or locations from work centers for which the authenticated user is responsible.

To access the list of work items through the dashboard, press the “Work” button.

How to view the location of technicians and WOs through the map view?

To access the map view through the dashboard, press the “Work” button.

Next you will need to select the last tab (“Map View”).

The map will display the locations of:

  • WOs with associated location coordinates.
  • technicians that consented to having their geolocation collected during synchronization.

Pressing the pinpoints on the map displays different information. If it is a:

  • WO – you will see the WO’s number, location, description and you can navigate into the its window by pressing the “View” button.
  • Technician – you will see the technician’s name and the date when those coordinates were reported.

How to access the assignment of work orders?

To assign work orders to technicians press the “Assign Work Orders” button in the dashboard.

How to view a chart of the state of work?

To view a chart of the state of work select the Dashboard option from the menu.

The work state chart consists on 3 bars:

  • Issues – number of delayed issues and issues within their expected due date.
  • Events – number of preventive maintenance events with no delayed WO and WO within the expected due time.
  • Work Orders – number of delayed work orders and work orders within their expected due date.

The system only displays data from work orders, preventive maintenances and work center with which these are associated or where their assets and locations are, for which the authenticated user is responsible.  

Work orders and issues with Cancelled states are not accounted for, and only the last 30 days are considered for issues and work orders in the final state.

How to view a chart of the service level of the work orders?

To view a chart of the service level of work orders select the Dashboard option from the menu.

In the visual section select the “Service level” option. The service level chart is divided into 2 parts:

  • Compliance rate
  • Non-compliance rate

The system only displays data from work orders, preventive maintenances and work center with which these are associated or where their assets and locations are, for which the authenticated user is responsible.  

How to view a chart of the work order response times?

To view a chart of the response time of work orders select the Dashboard option from the menu.

In the visual section select the “Response time” option. The response time chart is divided into 2 parts:

  • Approval time
  • Execution time

The system only displays data from work orders, preventive maintenances and work center with which these are associated or where their assets and locations are, for which the authenticated user is responsible.  

How to view a chart of the work order costs?

To view a chart of the costs of work orders select the Dashboard option from the menu.

In the visual section select the “Costs” option. The costs chart is divided into 3 parts:

  • Labor
  • Materials
  • Other Costs

The system only displays data from work orders, preventive maintenances and work center with which these are associated or where their assets and locations are, for which the authenticated user is responsible.  

Costs are displayed using the company’s base currency.  

How to access the data that generated the chart?

To access the data that generated the chart, press the other options icon (3 dots) from the upper right corner, and then select the drill-down option.

How to filter chart data?

To change the data in the charts follow these steps:

  1. Select the desired chart;
  2. From the upper right corner, press the other options button (3 dots) and select the “Filter” option.
  3. The filters available will be displayed.

What filters are available in the all work chart?

The following filters are available in the chart that displays all the work:

  • Date – this filter allows you to filter all work within a specific date range. After selecting the start and end dates, you can view in the chart:
    • all work orders for which the date is within the selected time range
  • Expected Date – this filter allows you to filter all work within a specific range of dates:
    • all work orders for which the expected date is within the selected time range
    • all issues for which the expected date is within the selected time range
    • all preventive maintenance events for which the expected date is within the selected time range
  • Expected End Date – this filter allows you to filter all work within a specific range of dates:
    • all work orders for which the expected end date is within the selected time range
    • all issues for which the expected end date is within the selected time range
    • all preventive maintenance events for which the expected end date is within the selected time range
  • Work center – this filter allows you to filter all work by work center:
    • all work orders from the selected work center
    • all issues from the selected work center
    • all preventive maintenance events from the selected work center
  • Person in Charge – this filter allows you to filter all work by Person in Charge:
    • all work orders for the selected person in charge
    • all issues for the selected person in charge
  • Priority – this filter allows you to filter all work by priority:
    • all work orders with the selected priority
    • all issues with the selected priority
  • Relevance – this filter allows you to filter all work by asset or location relevance:
    • all work orders where the asset or location have the selected level of relevance
    • all issues where the asset or location have the selected level of relevance
    • all events where the asset or location have the specified level of relevance
  • Location – this filter allows you to filter all work by the selected location.
  • Parent location – this filter allows you to filter all the work by the selected parent location.
  • Asset – this filter allows you to filter all the work by the selected asset.
  • Asset Location – this filter allows you to filter all work by the asset’s location.
  • Parent asset location – this filter allows you to filter all the work by the Asset’s parent location.
The system only displays data from work orders, preventive maintenances and work center with which these are associated or where their assets and locations are, for which the authenticated user is responsible.

The following filters are available in the chart that displays response times:

  • Date – this filter allows you to filter all work within a specific date range. After selecting the start and end dates, you can view in the chart:

    • all work orders for which the expected date is within the selected time range
  • Expected End Date – this filter allows you to filter all work within a specific range of dates:

  • Work center – this filter allows you to filter all work by work center:
    • all work orders from the selected work center

    • all work orders for which the expected end date is within the selected time range

How to sort the order for details lists?

From the corresponding details list, press the other options button (3 dots button on the upper right corner) and choose the “Order” option.

You can sort the following fields by ascending order:

  • Date
  • Expected Date
  • Expected End Date
  • State
  • Priority
  • Relevance
