Mobile – Data Synchronization

When the user first logs in, a synchronization of all data is performed. From that moment, the data synchronization can be performed upon user request using the synchronization buttons or it can be set up to automatically synchronize.
When the user logs out, if there are data to synchronize, the system prompts the user to synchronize the data.

The synchronization is divided in four sections:

  • Master data synchronization;
  • Assets and locations synchronization;
  • Work order synchronization – only shown if the  Valuekeep Mobile Work Report module is assigned to the user;
  • Issue  synchronization – only shown if the  Valuekeep Mobile Maintenance Request module is assigned to the user;
  • Work management synchronization –
  • only shown if the Valuekeep Mobile
  • Work Management module is assigned to the user.
To synchronize the device, you must have access to the Internet.

Synchronization of master data

You cannot perform operations in the application without first synchronizing master data. The first time you perform this synchronization, all master data, locations and assets are synchronized. Afterwards, only data that was changed in Valuekeep is synchronized. The synchronization of master data is divided into three sections:

Assets and Locations

You are not required to synchronize assets and locations from the backoffice to the App. You only need to do this if you wish to:

  • Report meter or monitoring values in the Work Report module.
  • View the indicators for issues in the Maintenance Request module.

Synchronization of Work Orders

The synchronization of Work Orders is divided into two parts:

  • Download Work Orders
    • All work orders in the Approved, In Progress, Suspended and Executed states assigned to the authenticated user are synchronized in the device, using the data in the backoffice.
    • The first time data is synchronized, only Work Orders which have been in the Executed state for 30 days are synchronized, and afterwards only those which suffer changes are synchronized.
  • Download Labor Report
    • All labor reports of the authenticated user (where the user field is filled with the name of the authenticated user) associated with work orders in the Approved, In Progress, Suspended and Executed states and assigned to that technician are synchronized in the device, using the data in the backoffice.
    • During the first synchronization, all labor reports of the authenticated user associated with WOs assigned to the authenticated user are synchronized. After the first synchronization, only data that has suffered changes is synchronized.
  • Download Other Costs Report
    • All other cost reports of the authenticated user (where the user field is filled with the name of the authenticated user) associated with work orders in the Approved, In Progress, Suspended and Executed states and assigned to that technician are synchronized in the device, using the data in the backoffice.
    • During the first synchronization, all other costs reports of the authenticated user associated with WOs assigned to the authenticated user are synchronized. After the first synchronization, only data that has suffered changes is synchronized.
  • Download Consumption Reports
    • All consumptions reports of the authenticated user (created by the authenticated user) associated with work orders in the Approved, In Progress, Suspended and Executed states and assigned to that technician are synchronized in the device, using the data in the backoffice.
    • During the first synchronization, all consumptions reports of the authenticated user associated with WOs assigned to the authenticated user are synchronized. After the first synchronization, only data that has suffered changes is synchronized.
  • Download Task Checklists
    • All task checklist reports of the authenticated user (created by the authenticated user) associated with work orders in the Approved, In Progress, Suspended and Executed states and assigned to that technician are synchronized in the device, using the data in the backoffice.
    • During the first synchronization, all user checklists of the authenticated user associated with WOs assigned to the authenticated user are synchronized. After the first synchronization, only data that has suffered changes is synchronized.
  • Download Internal Requests
    • All internal requests of the authenticated user associated with work orders in the Approved, In Progress, Suspended and Executed states and assigned to that technician are synchronized in the device, using the data in the backoffice.
    • During the first synchronization, all internal requests associated with work orders assigned to the authenticated user are synchronized. After the first synchronization, only data that has suffered changes is synchronized.
  • Download Meter Values associated with the Work Order
    • Meter values associated with work orders in the Approved, In Progress, Suspended and Executed states assigned to the technician are synchronized in the device, using the data in the backoffice.
  • Download Monitoring Values associated with the Work Order
    • Monitoring values associated with work orders in the Approved, In Progress, Suspended and Executed states assigned to the technician are synchronized in the device, using the data in the backoffice.
  • Upload Work Orders
    • The following reports are synchronized in the device using the data from the backoffice:
      • Work orders created on the device
      • Work orders state changes
      • Internal requests
      • Labor reports
      • Other cost reports
      • Consumption reports
      • Task classification
      • Meter values associated with the Work Order
      • Monitoring values associated with the Work Order

Synchronization of issues

The synchronization of issues is divided into two areas:

  1. Uploading new issues and changing states of issues
  2. Downloading the necessary data to manage issues
  • Download states and state transitions
    • All issue states and possible state transitions are synced from the backoffice into the Maintenance Request module.
  • Download issue types
    • All issue types are synced from the backoffice into the Maintenance Request module.
  • Download issues
    • All issues created by the authenticated user are synced from the backoffice into the Maintenance Request module.
    • All issues created in the current year are synced during the first synchronization. Issues that have been changed are synchronized after the first synchronization.
  • Download issue response times
    • All issue times of assets or locations for which the authenticated user is responsible are synced from the backoffice into the Maintenance Request module.
    • All issues created in the current year are synced during the first synchronization. Issues that have been changed are synchronized after the first synchronization.
  • Download issue costs
    • All costs of issues of assets or locations for which the authenticated user is responsible are synced from the backoffice into the Maintenance Request module.
    • All issues created in the current year are synced during the first synchronization. Issues that have been changed are synchronized after the first synchronization.
  • Upload issues
    • The following reports are synchronized in the device using the data from the backoffice:
      • Issues created on the device
      • Issue state changes

Synchronization of work management

The synchronization of Work Management is divided into two areas:

  1. Data uploading
  2. Downloading the necessary data to manage work
  • Download issues
    • All issues associated with assets or locations from work centers for which the authenticated user is responsible are synced from the backoffice into the Work Management module.
    • The data from the current year is synced during the first synchronization. Only new issues and issues that have been changed are synchronized after the first synchronization.
  • Download failures
    • All failures associated with assets or locations from work centers for which the authenticated user is responsible are synced from the backoffice into the Work Management module.
    • The data from the current year is synced during the first synchronization. Only new failures and failures that have been changed are synchronized after the first synchronization.
  • Download work orders
    • All work orders for which the authenticated user is responsible or associated with work centers for which the user is responsible are synced from the backoffice into the Work Management module.
    • The data from the current year is synced during the first synchronization. Only new WOs and WOs that have been changed are synchronized after the first synchronization.
  • Download preventive maintenance events
    • All preventive maintenance events from work centers or preventive maintenances for which the authenticated user is responsible are synced from the backoffice into the Work Management module.
    • The data from the current year is synced during the first synchronization. New events and events that have been changed are synchronized after the first synchronization.
  • Upload issues
    • The following reports are synchronized in the device using the data from the backoffice:
      • Issues created on the device
      • Issue state changes
  • Upload work orders
    • The following reports are synchronized in the device using the data from the backoffice:
      • Work orders created on the device
      • Work orders state changes
  • Upload preventive maintenance events
    • The following reports are synchronized in the device using the data from the backoffice:
      • Events that generate Work orders

Synchronization of asset management

The synchronization of asset management is divided into two areas:

  1. Data uploading
  2. Downloading the necessary data to manage assets and locations
  • Downloading locations
    • All locations to be used by this module are synced from the backoffice into the Asset Management module.
  • Download failures
    • All assets to be used by this module are synced from the backoffice into the Asset Management module.
  • Downloading down time history
    • All asset and location down time records to be used by this module are synced from the backoffice into the Asset Management module.
    • Only records from the current year are synchronized.
  • Uploading locations
    • The following reports are synchronized in the device using the data from the backoffice:
      • Locations created on the device
      • Changing existing locations
  • Uploading assets
    • The following reports are synchronized in the device using the data from the backoffice:
      • Assets created on the device
      • Changing existing assets

Automatic synchronizations

The automatic synchronizations can be defined by the user in time intervals predefined in the app. To activate them, you need to access the definitions menu and activate this option. You can also define the desired time interval.

In some operating systems, the automatic synchronizations are only triggered when the app is in the “foreground”, if the app is in the “background”, the default operating system suspends it and the data is not automatically synchronized.
