Mobile – Create a new Issue

Through issues, an organization’s employees can request maintenance actions on assets or locations. These maintenance requests, usually referred to as HelpDesk requests, allow the maintenance teams to respond to different requests by creating Corrective work orders. You can create a new issue from the following options:

  1. Menu | Maintenance Request | Dashboard: displays the “New Request” option.
  2. Menu | Maintenance Request | Issues: displays the list of issues.

After opening the list of issues or selecting the new issue option, follow these steps:

  • From the list of issues, press the (+) button on the lower right corner of the screen. Press the “New Issue” button on the dashboard. Both of these options will trigger a screen to create an issue.
  • Fill in the required fields and press the “Save” button on the upper right corner of the screen.

The created issue assumes its initial state in the backoffice if either the Location or Asset field is filled in.

Only assets and locations specified in the user’s access levels are displayed.

You can only change the date of the occurrence if the “Allow changing occurrence date” option is enabled in the BO, in the Valuekeep Mobile tab under Maintenance Settings.

How to create an issue without an asset or location?

To create an issue without associating it with an asset or location, do not enter the asset or location field in the issue creation screen. If you do this, the issue will assume “Draft” state after synchronizing.

How to change an issue?

You can only change issues in the “Draft” state.

To change data in an issue, follow these steps:

  1. Select the Requests option from the menu.
  2. From the list of Issues, select the Drafts tab to display the list of issues created on the device which have not been synchronized in Valuekeep yet or that have not been associated with an asset or location.
  3. Edit the issue and change the desired fields.
  4. Press the Save button on the upper right corner.
    If the state transition requires a justification, a popup window will be displayed for you to enter that information.

How to delete an issue?

You can only delete issues in the “Draft” state.

To delete an issue, follow these steps:

  1. Select the Issues option from the menu.
  2. From the list of Issues, select the Drafts tab to display the list of issues created on the device which have not been synchronized in Valuekeep yet or that have not been associated with an asset or location.
  3. Edit the issue and press the “delete” symbol on the upper right corner of the screen.
  4. A message to confirm if want to delete the issue is displayed. Press “YES” to delete the issue, or “No” if you do not want to delete it.

How to associate photos or attachments to an issue?

To associate photos or attachments to an issue, follow these steps:

  1. On the screen for creating an issue, press the “Attachments” tab.
  2. On the lower right corner, press the “+” symbol. A window with the “Photo” or “Files” options will be displayed.
    1. For Android and iOS operating systems, there will be a third option – “Gallery”.
    2. The “Photo” or “File” needs to be inferior to 15Mb.

The “Files” option will trigger a file explorer window where you can select the desired file.

If you run a Windows operating system, you can only access the ValuekeepDownloads and ValuekeepUploads folders. We suggest placing the files you wish to upload inside the ValuekeepUploads.
If you run an Android operating system, the ValuekeepDownloads and ValuekeepUploads folders are inside the system’s Downloads folder. Under Windows operating systems, the ValuekeepDownloads and ValuekeepUploads folders can be found at: C:Users%USERNAME%DownloadsValuekeep Mobile.

How to change an issue from Draft to its initial state?

Issues change from the Draft state to their initial state when an asset or location is associated and it syncs with the backoffice.

What are the allowed change states?

In the Maintenance Request, it is only allowed to change issues that are “solved”, that is, when they change to a state marked as “SLA end”
